ABOUT THE OPPORTUNITY
The Team Assistant will play a key role in supporting the smooth day-to-day running of the Executive Director for Continental Europe and the wider regional team. This position provides high-level administrative, coordination, and project support to help maximize team effectiveness and contribute to the successful delivery of ONE’s advocacy and campaign priorities across Europe.
Working at the heart of a fast-paced and dynamic team, the Team Assistant will manage complex scheduling, travel, and logistics; coordinate meetings and events; track departmental objectives and projects; and act as a central point of contact to ensure effective communication and follow-through across markets. The role requires excellent organisational skills, strong attention to detail, and the ability to anticipate needs and manage multiple priorities with discretion and efficiency.
The successful candidate will be highly proactive, resourceful, and comfortable working with senior leaders and colleagues across different countries and functions. This is a part-time role - 30 hours a week reporting to the Executive Director, Continental Europe, and based in our Berlin office.
IN THIS ROLE, YOU WILL:
ED Support
Provide proactive calendar management for the Executive Director (ED), including scheduling, prioritising requests, anticipating conflicts, and managing changes efficiently
Support the ED with executive engagement opportunities, both digital and in-person, including identifying relevant external events and forums
Manage travel arrangements and logistics for the ED, including bookings, itineraries, and coordination across markets
Receive and distribute incoming mail and process expense claims in a timely manner
Provide external communications support by coordinating with key internal stakeholders to gather information, draft and review materials, and ensure all communications are accurate, consistent, and aligned with ONE’s messaging and advocacy priorities.
Team Coordination
Support the Continental Europe team with coordination of departmental OKRs and progress tracking
Assist with monitoring individual market and team objectives to support alignment across the department
Schedule and coordinate ELT and Team Europe meetings and support effective cross-market collaboration
Project Support
Manage and maintain project tracking systems (including Asana), providing monthly updates across markets
Track timelines, deliverables, budgets, and dependencies across projects to ensure visibility and accountability
Support project coordination across Europe to help deliver against strategic advocacy and campaign objectives
Partner with project sponsors and campaign leads to support planning, monitoring, and evaluation of projects
Assist in identifying risks, competing priorities, and opportunities for stronger coordination across initiatives
Events & Logistics
Support logistics for events, board meetings, and internal gatherings, including hotels, travel, catering, agendas, and materials
Assist with coordination of side events and stakeholder engagement activities across markets
Organise internal and external meetings, including logistics, agendas, room bookings, video conferencing
Communications Support
Draft, proofread, and edit internal and external communications as needed
Help ensure consistency and professionalism across presentations, documents, and team communications
WHAT YOU BRING TO ONE
Strong understanding of how high-quality administrative support contributes to team success
Excellent organisational skills with strong attention to detail and follow-through
Ability to manage multiple priorities and work effectively in a fast-paced environment
Strong verbal and written communication skills in German and English
Confidence using Microsoft Office, Google Workspace, and project/task management platforms
Experience supporting projects, tracking deliverables, or working with OKRs/KPIs
Strong interpersonal skills and ability to work across culturally diverse teams
Resourceful, solutions-oriented, and comfortable working independently
Receive and distribute incoming mail, complete and submit expense reports in a timely manner
Manage current PM system (Asana) and provide monthly updates of projects across markets - this view will include tracking information including objectives, timelines, budgets
Support projects in Europe that will help us deliver against ambitious objectives
Experience working in campaigns, advocacy, communications, or nonprofit environments is desirable

Ability to live and work in Germany is required
