About EIPA

The European Institute of Public Administration (EIPA) was created in 1981 on the occasion of the first European Council held in Maastricht and is supported by the EU Member States and the European Commission. Our core mission is to provide a mix of deep insights and practical knowledge about EU policies, to all professionals related to EU public affairs, with the key objective of further improving their skills and capabilities for effective management of the policies. In addition to the Maastricht-based headquarters, EIPA has a centre in Luxembourg: the European Centre for Judges and Lawyers (ECJL).

The position

The Project Organisation (PO) team in Maastricht consists of 7 experienced colleagues, who take care of the logistics of all activities and provide administrative support. Cooperating closely with EIPA experts/project leaders, they ensure the coordination with other divisions (Finance, Marketing, Internal Services, etc.). They liaise with clients, external experts, participants and subcontractors/suppliers (e.g. hotels, restaurants, translation/interpretation) and are involved in both the preparation and implementation of projects.

You will work closely with one or more of your colleagues, supporting them with administrative and logistical tasks for projects and training activities. You report to the Head of Project Organisation.

Main tasks and responsibilities

As a Student Assistant within the PO Team, you will, amongst others:

  • Assist the Project (Management) Officers with administrative, logistical, and e-learning activities for in-person and online training courses, seminars, and conferences
  • Prepare project documents, maintain project files and databases, and facilitate communication with stakeholders
  • Participate in project preparation and follow-up by helping with participant registrations, compiling and distributing project materials, and collecting feedback
  • Miscellaneous supporting tasks
