In this position, you will independently manage the full-spectrum back-office operations for a U.S.-based entity, with a primary focus on accounting while also overseeing HR, administration, and compliance coordination. Working closely with outsourced professional firms and receiving advisory support from an overseas headquarters, this role plays a critical part in ensuring accurate financial management and compliant business operations.
Responsibilities
Maintain daily accounting records using accounting software, ensuring complete documentation and internal controls
Prepare monthly management reports, quarterly closing packages, and reconciliation schedules
Compile audit and external reporting materials in a timely manner
Coordinate recruitment processes, payroll operations, and HR administration with outsourced service providers
Maintain and update employee handbooks, internal policies, and HR records in line with advisory guidance
Manage office administration, vendor coordination, and new location setup tasks
Track and renew required business licenses and permits, maintaining a compliance calendar
Monitor regulatory and industry updates and coordinate responses with legal and compliance advisors
Serve as the internal point of contact for external accounting, legal, and HR firms
Align back-office execution with headquarters’ guidance and promptly escalate material risks
Qualifications
5+ years of hands-on experience in accounting and back-office operations
Practical knowledge of accounting close processes and reconciliations
Ability to operate a one-person in-house back-office function with external support
Experience coordinating payroll, HR operations, and employee documentation
Strong sense of ownership, confidentiality, and deadline discipline
Business-level English communication skills
Preferred Requirements
Experience with U.S. business licensing and compliance administration
Coordination experience with outsourced CPA, legal, and HR providers
Background in retail, luxury goods, or multi-site setup support
Japanese proficiency at JLPT N3 or above
LOCATION Los Angeles , CA
EMPLOYMENT DETAILS
Working hours: 9:30 a.m. – 6:30 p.m.
Days off: Two days per week (one of which is fixed on Wednesday)
Employment type: Full-time
Salary: USD8,000-9,000 per month, based on experience+bonus (not guaranteed)
Additional support may be required during month-end and quarter-end closings, as well as audit periods
