An established construction-focused organization is seeking a detail-oriented Contract Administrator to support contract and project management operations. This role is responsible for overseeing the full lifecycle of construction projects, including bid coordination, contract administration, document management, and financial tracking.
This position is ideal for someone who thrives in a fast-paced, team-oriented environment and excels at managing multiple priorities with precision.
Key Responsibilities
Bidding & Pre-Construction
Coordinate and manage the bidding process, including researching opportunities, obtaining project plans/specifications, and supporting bid package preparation
Collaborate with estimators and internal stakeholders to ensure complete and accurate bid submissions
Track bid activity, maintain records, and communicate bid results
Contract Administration
Draft, review, and manage contracts and subcontracts, ensuring accuracy and compliance with requirements
Prepare and maintain construction documentation such as contracts, purchase orders, and change orders
Maintain organized and compliant records throughout the project lifecycle
Project & Financial Support
Review daily reports, material usage, and job progress for accuracy
Process invoicing, verify quantities, and support subcontractor payment validation
Assist with project financial tracking, including profit and loss reporting
Contribute to weekly and monthly financial reporting
Documentation & Systems Management
Maintain logs, spreadsheets, and tracking systems for project-related data
Set up and manage project data within internal systems
Prepare and maintain documentation required for regulatory compliance
Coordinate requests for insurance certificates and bonding documentation
Collaboration & Support
Work cross-functionally with project teams, field personnel, estimators, and external stakeholders
Ensure adherence to contractual terms and conditions
Provide general administrative support for project documentation and reporting
Qualifications & Skills
Strong attention to detail with the ability to multitask effectively
Basic understanding of accounting and financial processes
Proficiency in Microsoft Office Suite (especially Excel, Word, and PowerPoint)
Experience with construction or project management software is preferred
Strong communication and interpersonal skills
Analytical thinking and problem-solving ability
Highly organized, self-motivated, and able to work independently
Comfortable working in a fast-paced, deadline-driven environment

The pay range for this position is $30.00 - $35.00/hr.
