Key Responsibilities
We are seeking a highly skilled, detail-oriented, and professional Executive Administrative Assistant to provide comprehensive administrative and operational support to the Global Suite executive. This role is critical to the smooth operation of the departments leadership office and requires the highest level of discretion, organization, and judgment. The successful candidate will enable the executive to focus on strategic, financial, and operational priorities across the firm.
Executive Support
Serve as the primary point of contact for the Global executive managing complex calendars, scheduling meetings, and coordinating domestic and international travel.
Screen, prioritize, and manage incoming communications to ensure timely and appropriate responses.
Prepare, edit, and proofread correspondence, presentations, financial summaries, reports, and other executive-level materials.
Coordinate internal and external meetings, including agenda preparation, logistics, materials, and follow-ups.
Financial & Operational Support
Assist in organizing and maintaining sensitive financial, strategic, and corporate documentation.
Support preparation of materials for board meetings, investor presentations, earnings-related activities, and senior management reviews.
Liaise with internal departments (Accounting, Treasury, FP&A, Legal, Risk, ComplianceHR, etc.) and external partners.
Track key initiatives, deadlines, and deliverables for the leadership team.
Administrative Excellence
Manage expense reporting, invoice processing, and budget tracking for the office.
Handle confidential information with the utmost discretion and professionalism.
Anticipate executive needs and proactively manage priorities in a fast-paced, high-pressure environment.
Identify opportunities to improve processes, workflows, and operational efficiency within the Finance organization.
Qualifications
Bachelor’s degree preferred or equivalent relevant experience.
2 yrs supporting senior executives, ideally within financial services or a complex corporate environment.
Exceptional organizational skills with the ability to manage multiple priorities and tight deadlines.
Strong written and verbal communication skills with attention to detail.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
High level of professionalism, discretion, and sound judgment.
Proactive, solutions-oriented mindset with strong follow-through.
Ability to work independently and collaboratively across teams and global time zones.

Bachelor’s Degree required
Salary: $ 90,000 - $ 110,000
The expected base salary for this position ranges from $90,000 to $110,000 annually. The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package (including health, vision, and dental insurance, paid time off and a 401(k) retirement), this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
