Executive Assistant
Responsibilities:
• Oversee complex executive calendars, prioritizing meetings and resolving scheduling conflicts to keep daily activities on track.
• Coordinate board and leadership meetings, prepare materials in advance, and capture accurate meeting notes and action items.
• Manage executive email communications by organizing messages, flagging urgent matters, and helping maintain timely follow-up.
• Arrange domestic travel plans, including itineraries, bookings, and expense-related coordination using approved tools and processes.
• Develop high-quality presentations, reports, and supporting documents for leadership updates, board sessions, and business reviews.
• Track deadlines, meeting deliverables, and follow-up items to ensure commitments are completed in a timely manner.
• Support administrative workflows that improve executive efficiency and maintain consistent documentation standards.
• 5+ years of experience providing executive-level administrative support in a business environment requiring strong attention to detail.
• Demonstrated expertise in calendar coordination, inbox oversight, and domestic travel planning.
• Experience supporting board meetings, including agenda preparation, material coordination, and minute taking.
• Proficiency in preparing presentations, reports, and executive communications with a high level of accuracy.
• Familiarity with travel and expense platforms such as Concur or similar business travel tools.
• Strong organizational skills with the ability to manage multiple priorities and maintain confidentiality.
• Excellent written and verbal communication skills and a detail-focused approach to administrative support.
