The Executive Assistant is a highly strategic, senior-level role that serves as a trusted partner to the CEO and executive leadership team. This individual will play a critical role in maximizing the CEO’s effectiveness by driving operational efficiency, managing high-level communications, and ensuring seamless coordination across the organization. Blending executive support with exceptional judgment, business acumen, discretion, and the ability to anticipate needs in a fast-paced, high-growth environment. The ideal candidate is proactive, polished, highly organized, and thrives at the center of dynamic leadership operations.


Responsibilities

  • Manage and optimize the CEO’s calendar to ensure alignment with strategic priorities and evolving business needs.
  • Coordinate CEO communications, including drafting correspondence, managing email inbox activity, and preparing briefing materials.
  • Anticipate needs, remove friction, and create structure around the CEO’s time and decision-making.
  • Prepare materials and context for executive meetings, client engagements, board meetings, and external events.
  • Support cross-functional initiatives and help drive clarity and follow-through across teams; serve as a strategic partner to the CEO.
  • Provide strategic coordination, scheduling, and administrative support for the CFO, COO, SVP of People, and broader C-suite leadership team.
  • Coordinate logistics for executive meetings, leadership offsites, semi-annual roadshows/all-company meetings, and internal communications.
  • Assist with document preparation, agendas, presentations, and follow-up actions for key executive forums and board meetings.
  • Support board meeting planning, preparation, execution, and post-meeting follow-up activities.
  • Coordinate complex domestic and international travel arrangements for executives, particularly for a CEO with extensive travel.
  • Manage travel expenses and expense reporting through Salesforce or similar platforms.
  • Act as a trusted liaison among executives, internal teams, clients, and external partners, maintaining professionalism and confidentiality.


Ideal Experience

  • Minimum 15 years of executive assistant or senior administrative experience supporting C-suite leaders.
  • Advanced proficiency with Microsoft Office products (Outlook, Word, Excel, PowerPoint).
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • High level of discretion, professionalism, and emotional intelligence.
  • Experience in fast-paced, high-growth, or professional services environments preferred.
