Position Summary: Reporting to the Director, Fundraising and Special Events, the Coordinator, Fundraising and Special Events provides essential administrative, logistical, and creative support to ALS United Greater New York's fundraising events. This role assists with planning and execution of major events including the Lou Gehrig Legacy Gala, ALS Iron Horse Golf Classic, Walk ALS, and Team ALS programs, while also contributing to social media content creation and graphic design projects for event materials. The Coordinator will also manage routine administrative tasks to ensure the smooth functioning of the Events team and contribute to the overall success of the organization’s fundraising efforts.
The ideal candidate is a self-starter who is organized, detail-oriented, and customer service–focused, with an interest in nonprofit fundraising, events, and communications. This is an on-site position based out of our NYC office and requires some evenings, weekends, and travel for events.
Key Responsibilities:
- Design basic print/electronic materials for events such as invitations, signage, programs, display boards, winner certificates, slideshows, using Canva.
- Create social media content related to events, fundraising initiatives, volunteers, and sponsors, and coordinate content calendars and deadlines.
- Utilize fundraising software to design and build event websites, online ticketing, silent auctions, and raffle purchases (e.g., Luminate Online, peer-to-peer tools).
- Solicit in-kind donations for the Gala Silent Auction and Golf Classic raffle.
- Provide outreach, motivation, and guidance to Walk ALS participants and team captains; offer excellent customer service by phone, email, and online platforms.
- Draft and coordinate donor correspondence, including acknowledgement letters, pledge invoices, and auction/raffle winner redemptions; prepare email confirmations, info packets, and post-event follow-ups.
- Monitor event-related social media activity; respond to basic inquiries and route questions appropriately.
- Coordinate event-related mailings, shipments, inventory of supplies/materials.
- Maintain and update the internal Events Calendar and provide quarterly summaries for Board reporting.
- Support additional projects and programs as assigned, including the Young Professionals Group, Education & Resource Summit, and various ALS awareness campaigns.
- Provide daily administrative support to the Events team.
- Staff all events and support on-site production, including registration, set-up/breakdown, signage placement, social media content, and guest assistance.
- Perform other duties as assigned to ensure successful fundraising operations and organizational goals.
- Bachelor’s Degree required.
- 1-2 years of experience in fundraising, events, community engagement, marketing, or a related administrative role.
- Experience with social media, communications, and/or donor cultivation a plus.
- Highly skilled with Microsoft Office programs; Canva and/or Adobe Suite is preferred, ability to learn new software quickly.
- Experience with Luminate Online, Raiser’s Edge, or other CRM/peer-to-peer fundraising tools strongly preferred.
- Strong project management skills with the ability to balance multiple priorities, meet deadlines, and maintain meticulous attention to detail.
- Excellent written and verbal communication skills; collaborative, diplomatic, and solutions oriented.
- Comfortable working under pressure during peak event periods; team player with a positive, proactive attitude.
- Must be able to work nights and weekends as needed for events.
- Travel to/from events is required; valid driver’s license required.
- Ability to lift boxes, set up tables, and perform physical tasks related to event preparation (indoor and outdoor environments).
