POSITION SUMMARY
This position is the right-hand administrative support to the Chief Human Resources Officer. The successful candidate will be eager to learn and contribute to law firm leadership from a HR perspective at a high-profile firm with offices throughout the US and in the UK. This position works with a talented and collaborative HR leadership team to support the responsibilities of the CHRO and HR department.
This position assists the CHRO and HR team to manage and execute daily requests and deliverables, as well as longstanding projects and deadlines. Specifically, this position proactively manages the CHRO’s calendar, organizes meetings, and manages and organizes the CHRO’s email inbox, prioritizing emails by content and ensuring timely responses. The HR Coordinator will assist the broader team to ensure the HR department is functioning at its highest potential. Finally, the HR Coordinator will organize timelines and ensure deliverables are met by the HR team.
A key function of this position is to enable the CHRO to work most effectively and efficiently. In addition to providing high-level administrative support, the HR Coordinator supports the CHRO and HR team to bring organization and improvement to day-to-day processes. A well-designed, continuously improved, and well managed calendar of deliverables is a cornerstone.
ESSENTIAL JOB FUNCTIONS:
- Maintain accurate meeting notes and project assignments to HR leaders; communicate any changes in priority and respectfully follow up on critical assignments to provide status and ensure completion.
- Proactively manage the CHRO’s calendar and inbox and ensure resolution of email requests in a timely manner.
- Maintain, document and process all expense reports.
- Work with the HR leadership team and CHRO to create an agenda for meetings with the Managing Partners and the COO. These critical meetings allow time each week to advance strategic project design and other deliverables, as well as to discuss resolution to other emerging issues / opportunities.
- Receive and track documentation for various HR-related processes including: non-medical remote work requests; spot bonuses; compliance and required notices; and managing participant lists for onboarding and exit processes.
- Support the recruiting process by coordinating job postings on various websites, scheduling interviews, and coordinating new hire orientation logistics including schedules, conference room reservations, and arranging catering.
- Responsible for updating intranet with HR and benefits content including contact information, compliance documents, policies, and benefit materials.
- Coordinate, plan, and execute various HR events including HR presentations, trainings, and benefit and wellness webinars and events. This includes development of communications and handling logistics for virtual and/or in-person events.
- Regularly check the department email inbox and answer frequently asked HR and benefit questions; forward complex questions to appropriate HR team members or leadership.
- Perform administrative tasks including opening and prioritizing regular mail for department leaders, drafting letters, memos, PowerPoints, and reports.
- Arrange travel for CHRO.
- Participate in other projects as assigned.
QUALIFICATIONS AND REQUIREMENTS:
- Bachelor's Degree
- Display excellent judgment and discretion with the ability to manage sensitive and confidential information and situations with tact, professionalism, and diplomacy.
- Support, lead, and embrace new projects, processes, and changes to foster a best-practice HR function.
- Demonstrate strong verbal and written communication skills. Regularly present to the HR team.
- Respect the time of busy executives and partners of the firm; take extra care when organizing meetings or requests involving these customers.
- Possess impeccable communication, organization and prioritization skills, with a strong attention to detail and a proven ability to meet deadlines.
- Display strong collaboration skills and contribute to an organized approach to prioritize projects of the firm.
- Demonstrate strong interpersonal and customer service skills.
- Interest in HR is a plus.

Pay range and compensation package
Jenner & Block is proud to offer a competitive total rewards package, including comprehensive health & well-being benefits and 401k profit sharing. The anticipated pay range for this role is $58,000 to $70,000 in Chicago. The actual offered rate for this position will be determined based on several factors, including qualifications and experience, geographic location, education, external market data, and consideration of internal equity.
