PaperCut in Healthcare: driving efficiency and security in mission critical environments

The healthcare industry relies on the newest technologies to provide patients with the care they need while ensuring efficiency, compliance, and confidentiality. This is not only integral in frontline patient care, but behind the scenes as well.

Document management is an important part of the support system keeping healthcare organizations in operation. When issues occur they’re not just frustrating, they can lead to violations and serious legal consequences.

PaperCut’s Senior Product Manager, Mat Buttrey, recently joined ACDI’s Solutions Director, Rich O’Boyle, for a webinar where they discussed these issues.

Together they shared insights and real stories about how healthcare organizations are addressing document security and print efficiency.

Here are some of the key takeaways:

Our healthcare journey

At PaperCut, healthcare is one of our fastest growing markets. Over 30 years of experience in print management has developed our expertise in creating secure, efficient, and easy to use print software. These core features have proven just as essential in healthcare as they have in education, where we got our start.

Today, we support thousands of healthcare customers worldwide ranging from local dental practices to major, multi-state and even multinational hospital organizations. With the U.S. accounting for about 40% of the global healthcare market, there are immense opportunities here for PaperCut to continue to provide widespread value to organizations.

With a specific PaperCut team dedicated to the healthcare space, we, along with our partners like ACDI, are committed to providing organizations of all sizes with smarter, securer, and more efficient document workflows.

Our 3 focus areas

To ensure efficient, secure, and successful print management in the healthcare industry, we focus on three key areas: visibility and security, print enablement, and digitization.

1. Visibility and security

When we talk about security in healthcare it’s easy to think of cyberattacks and other external threats. But the truth is, internal sources present an equal threat.

Our research shows that 63% of healthcare managers are worried about their own employees causing a data breach through mismanaging sensitive documents, whether intentionally or not. This is why it’s essential to account for the entire lifecycle of a document when considering document security.

Our tools are designed to ensure security through the whole printing cycle, from job delivery to traceable signatures on paper even after the document has left the printer. These tools help organizations maintain complete control over documents and comply with strict regulations such as HIPAA.

Key features include:

  • Authentication: Print jobs are only released to the authorized user through options like card swipe, PIN codes, or single sign-on.
  • Auditing and Archiving: Detailed job logs provide a clear trail of who printed what, when, and where. For scanned documents, this includes a first-page preview and a full record of the destination.
  • Secure Workflows: Tools like Advanced Scan to Fax Connector allow for tightly controlled transmission of sensitive documents.

After two major data breaches in a single year, we had one customer come to us with a simple goal: to stay out of the news. We helped them lock down their systems, implement tighter controls, and restore trust in their data integrity.

2. Print enablement

Imagine an organization with tens of thousands of print queues, where just adding a new queue could take up to 99 business hours. This is a real example of the challenges faced by large healthcare organizations when it comes to print management.

This is where our print enablement tools like Print Deploy and Mobility Print come in:

  • Print Deploy automatically distributes the right print drivers to the right devices based on a user’s location, saving set-up and installation times. VDI environments build on this, with the same functionality in a Citrix or VMware environment.
  • Mobility Print allows staff to print from any operating system, including iOS, Android, Windows, Mac, or Chrome devices without complex setup involved. Mobility Print works with Print Deploy and delivers jobs securely from outside the firewall on Windows, Chrome, and Mac.

These tools simplify the printing process, ensuring convenience and ease for users while organizing and structuring print flow and infrastructure.

3. Digitization

The ongoing transition to digital systems across most industries is an important focus for PaperCut. This changing landscape, accelerated by the pandemic, provides new opportunities and challenges for organizations.

Alongside this transition though, faxes still play an important role in the healthcare industry. In the U.S., 70-75% of medical communication is still conducted through faxes.

Our scanning and faxing tools help bridge this gap between paper and digital, while maintaining efficiency and security:

  • PaperCut’s architecture is set up to log, archive, and report on all scan and fax traffic, providing visibility throughout the process.
  • Our Advanced Scan and Fax Connector helps organizations manage and secure scan traffic through capturing metadata and integrating contacts, MFDs, and with your fax provider. This enables greater control over who can send and receive sensitive information.
  • Seamless integration with EHR/EMR systems like Epic and Cerner, allowing for patient data to be securely and efficiently transferred when scanning or printing.

Our scanning solutions have helped our clients to centralize their scanning architecture, maintaining visibility and control over faxing and scanning. With this security in place, they can protect client data and comply with regulations.

Looking ahead

At PaperCut, we are committed to helping healthcare organizations manage their print and document workflows efficiently and securely.

We work hard to ensure our tools are relevant to healthcare operations and to changing trends in document management, with solutions designed to support the critical work of healthcare providers.
