SAP Business One 𝗧𝗶𝗽 𝟯𝟱𝟲# Tip Of Thursday Evening: ✅ New Enhancement In SAP Business One 𝟭𝟬.𝟬 𝗙𝗣 𝟮𝟱𝟬𝟴 ✅ Enhancements: 𝗠𝘂𝗹𝘁𝗶𝗽𝗹𝗲 𝗨𝘀𝗲𝗿 𝗦𝗲𝗹𝗲𝗰𝘁𝗶𝗼𝗻 𝗶𝗻 𝗟𝗮𝘂𝗻𝗰𝗵 𝗔𝗽𝗽𝗹𝗶𝗰𝗮𝘁𝗶𝗼𝗻 ✅ SAP Refer Note: 𝟯𝟲𝟬𝟳𝟱𝟯𝟰 ✅ OEC Computer UK Standard Database ➕➖ ➖ ➖ ➖ ➖ ➕ Managing external applications in SAP B1 is a common requirement — whether it’s a browser link, remote access tool like AnyDesk, or a company-specific executable. Until now, 𝗮𝘀𝘀𝗶𝗴𝗻𝗶𝗻𝗴 𝗮𝗽𝗽𝗹𝗶𝗰𝗮𝘁𝗶𝗼𝗻𝘀 to users was restrictive and sometimes confusing. 𝗦𝘆𝗺𝗽𝘁𝗼𝗺: There was no option to assign an application to multiple users at once in the Launch Application setup. 𝗖𝗮𝘂𝘀𝗲: System enhancements introduced in FP 2508 to improve flexibility and user management. ➕➖ ➖ ➖ ➖ ➖ ➕ ❌ System behavior 𝗽𝗿𝗶𝗼𝗿 𝘁𝗼 𝗙𝗣 𝟮𝟱𝟬𝟴: In the User field, you could only choose: ✔️ All Users → visible to everyone. ✔️ One Specified User → limited to a 𝘀𝗶𝗻𝗴𝗹𝗲 𝗽𝗲𝗿𝘀𝗼𝗻. Applications were not visible to super users unless specifically assigned. ✅ System behavior 𝗮𝗳𝘁𝗲𝗿 𝘂𝗽𝗴𝗿𝗮𝗱𝗲 (𝗙𝗣 𝟮𝟱𝟬𝟴): In the User field, you can now choose: ✔️ For All Users ✔️ 𝗙𝗼𝗿 𝗦𝗽𝗲𝗰𝗶𝗳𝗶𝗲𝗱 𝗨𝘀𝗲𝗿𝘀 (𝗺𝘂𝗹𝘁𝗶𝗽𝗹𝗲) ✅ If you select For Specified Users, you can: 1️⃣ Highlight multiple users in the List of Users window with 𝗖𝘁𝗿𝗹 + 𝗖𝗹𝗶𝗰𝗸 𝗼𝗿 𝗦𝗵𝗶𝗳𝘁 + 𝗖𝗹𝗶𝗰𝗸. 2️⃣ 𝗨𝘀𝗲 𝗰𝗵𝗲𝗰𝗸𝗯𝗼𝘅𝗲𝘀 𝗶𝗻 𝘁𝗵𝗲 𝗨𝘀𝗲𝗿𝘀 – Selection Criteria window to assign to a group of users. Applications are now visible not only to assigned users, but also to super users (𝗢𝗻-𝗣𝗿𝗲𝗺𝗶𝘀𝗲) and power users (On-Demand). ➕➖ ➖ ➖ ➖ ➖ ➕ 𝗦𝗰𝗲𝗻𝗮𝗿𝗶𝗼 (𝘀𝗲𝗲 𝗶𝗺𝗮𝗴𝗲): 1️⃣ Go to Main Menu → File → 𝗟𝗮𝘂𝗻𝗰𝗵 𝗔𝗽𝗽𝗹𝗶𝗰𝗮𝘁𝗶𝗼𝗻 (or toolbar icon). 2️⃣ Click New to create an Application Detail (e.g., AnyDesk). 3️⃣ In the User field → choose For Specified Users. 4️⃣ Select multiple users from the list (Sales, Accounting, HR, etc.). 5️⃣ Save → the app is now assigned to all chosen users and visible in their 𝗟𝗮𝘂𝗻𝗰𝗵 𝗔𝗽𝗽𝗹𝗶𝗰𝗮𝘁𝗶𝗼𝗻 list. 𝗪𝗵𝘆 𝗶𝘁 𝗺𝗮𝘁𝘁𝗲𝗿𝘀 (𝗿𝗲𝗮𝗹-𝘄𝗼𝗿𝗹𝗱 𝘂𝘀𝗲): 1️⃣ 𝗜𝗧 𝗧𝗲𝗮𝗺𝘀: Can deploy support tools (e.g., AnyDesk, Chrome Remote Desktop) to selected departments without assigning company-wide. 2️⃣ 𝗦𝗮𝗹𝗲𝘀 𝗧𝗲𝗮𝗺𝘀: Launch custom web apps (pricing calculators, portals) for only sales users. 3️⃣ 𝗠𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁: Restrict sensitive apps to executives only, ensuring compliance. ➕➖ ➖ ➖ ➖ ➖ ➕ 𝗣𝗿𝗼 𝗧𝗶𝗽: 1️⃣ Assigned to All Users → SPRG."UserCode" = -1 2️⃣ Assigned to Specified User (e.g., manager) → SPRG."UserCode" = User ID (e.g., 1) 3️⃣ Assigned to Specified User but none selected → SPRG."UserCode" = -2 4️⃣ If you use custom queries, adjust them to use User ID instead of User Code. ➕➖ ➖ ➖ ➖ ➖ ➕ Please refer the attached screenshot with latest update In SAP B1 FP2508 #SAPBusinessOne #SAPB1 #ERP #UserManagement #ExternalApps
