As more and more people understand the shift in buying behaviour, the theoretical nonsense of a funnel, and the concept of 95:5 with regards to the % of your ICP that is actually in market at any given time, why do more companies not offer self-guided tours. ⚠️ Are you using HubSpot Sequences for cold outreach? You might be burning your domain without realizing it. Sequences are great, but they weren’t built for outbound. Even though they send from your Gmail or Outlook, they still route through shared infrastructure. Spam complaints? They’ll hit your whole org. And that “dedicated IP” you paid extra for? Most deals aren’t lost because the prospect said no. They’re lost because the follow-up was off. And no, our follow-ups don’t sound like follow-ups. They feel like natural touchpoints across channels: WhatsApp, LinkedIn, calls, even SMS. Here’s the multichannel approach I use (that gets replies without being pushy): 1️⃣Timing Matters Don’t rush. Give it breathing space before the next touchpoint. Across channels, 2–3 days works well to stay present, not pushy. 2️⃣Keep It Human Instead of “just following up,” I use messages that continue the conversation. 3️⃣Add Value Every Time Every touchpoint gives something useful, an insight, article, or idea. Even if they never buy, they remember the interaction as helpful. 4️⃣Channel-Specific Warmth WhatsApp: voice notes or quick resources. LinkedIn: thought-provoking comments on their posts. Email: short, tailored subject lines like “Quick idea for [goal/problem].” Calls: asking one sharp, contextual question. 5️⃣ Know When to Pause If it’s not the right time, step back gracefully. Leave the door open: 👉 “Happy to reconnect when this becomes a priority for you.” Follow-ups aren’t a chase. Generated 109 leads from 19,372 contacted + setup "new lead" round robin system for a 5 person sales team in HubSpot via OutboundSync. Here's how we built an outbound engine for this manufacturing company: RESEARCH & DEVELOPMENT Our client's solution offers branded disposables at a very competitive price and delivery speed compared to competitors on the market. Their bread & butter segment is coffee shops (branded cups), but we wanted to see what other TAM we can explore via outbound in our campaigns. First we outlined who their ICP (Ideal Customer Profile) is: - Companies who are overpaying & waiting too long for shipments of disposables + want their logo on their disposables to increase reach We found additional relevant segments with this ICP in mind: - Pizzerias, Bakeries, Mega Churches (free coffee at sermons), etc. We were able to penetrate these segments with success to increase their available TAM. OUTBOUND INFRASTRUCTURE The industry we were looking to inbox in was mostly local biz, so we opted-in for ScaledMail's Outlook Azure inboxes as their TAM is primarily on Outlook, Mimecast, Barracuda, etc vs Google. And as usual, using EmailBison for automated email sending. LIST BUILDING We sourced broad lead lists from Apollo then enriched the companies in Clay to ensure they were actually a fit (ex. Coffee Shop, Mega Church, etc) For the qualified companies, we waterfall enriched contacts via LeadMagic, Prospeo.io, and Icypeas. MESSAGING Our messaging highlighted the top pain points we identified our ICP consistently faced when working with other disposables vendors on the market: - Shipments taking too long - Large of a minimum order sizes - Overpriced unit costs We then made note of how our solution expedites these issues with a case study relevant to their segment. In the CTA, we then offered a free sample of what a branded disposable could look like for their company as additional value. CRM INTEGRATION With the gracious help of the team over at OutboundSync, we were able to coordinate syncing new leads we generated from cold outbound to their HubSpot CRM and route each lead uniquely to the fit sales people at the company. This allowed for 10X easier hand-off and faster lead management off replies making conversion systems more effective -- this made everyones lives way easier. --- This case study encompasses what cold outbound looks like when done right.   1. 95% of cold email campaigns don’t fail because of copy. They fail because of lead lists and infrastructure. Most people don’t know this: 1. Lead Lists - Catch-alls aren’t equal → validate twice using MillionVerifier + Scrubby | Complete email validation - Role-based emails (info@, hr@) silently drag down deliverability - Enterprise firewalls block cold traffic → cut them early if you see securemail” or “gatedmail” remove them. 2. Infrastructure - 1 domain = 1 tenant - 1-2 inboxes max per domain - Start at 15-20 sends per inbox, ramp slowly - Randomize send windows daily - Auto-pause campaigns and put to warmup when bounce >2% When data + infra are right → even average copy lands and books meetings. When they’re wrong → even the best copy ends up in spam. Cold email doesn’t fail because people can’t write.
