The first step to an effective communication strategy is to understand your stakeholders. iIdentifying the key stakeholders and their interests (positive or negative) in the project; Assessing the influence of, importance of, and level of impact upon each stakeholder; and Identifying how best to engage stakeholders. I would also like to understand who the influencers are and who are the ones that are going to resist the most.

Communication with stakeholders can happen in many forms. I like to provide a dashboard from the project plan that shows clear indicators: on track, delayed, % complete, blockers, project timeline, stakeholders, main team. If everyone is connected and collaborating from a central data store, it's easy for members to see updates automatically. This provides room for stakeholders to review status prior to any upcoming calls.

Set clear expectations early, establish regular check-ins, and ensure transparency with progress updates. Use visuals like prototypes to facilitate understanding and feedback, and tailor communication to each stakeholder’s level of expertise. Foster a feedback loop, address concerns promptly, and document decisions for transparency. Finally, remain adaptable to evolving needs while celebrating milestones and contributions to maintain engagement and collaboration.

• Linguagem adequada ao público: Ajustar a mensagem evita ruídos e facilita o entendimento. • Transparência sempre: Compartilhar desafios e conquistas fortalece a confiança no processo. Com comunicação aberta e empática, o projeto ganha engajamento e se desenvolve de forma mais colaborativa.

Effective stakeholder communication is crucial in digital transformation projects. Tools like Monday.com, Asana, Jira, and Salesforce enhance management by providing real-time visibility, task automation, and centralized communication channels. These platforms enable automatic notifications, integration with other systems, and AI-driven data analysis, improving decision-making. To maximize their impact, it is essential to define a communication plan, customize dashboards, encourage feedback, and optimize strategies based on engagement metrics. Their adoption reduces misunderstandings, enhances collaboration, and accelerates project success.

To add to the comments already provided, I would ask the stakeholders up front which methods of communication they prefer, and will actually use. Too often we create and send updates for them to get lost in email inboxes. Also, offer milestone meetings to present findings and progress for the latest phase of the project. This can have an expanded audience, if needed. Then, ask the stakeholders after a few iterations if the communication methods are serving their needs, and adjust as needed.

The main stakeholders in the process are the operators of the process. They should be doing the change work! They will know how best to keep other stakeholders informed.
