I would work with the team and stakeholders to identify all alternatives and decide on the next course of action, i.e changing location, moving indoors, reschedule. I would then inform all attendees of the situation and the new action plan while providing high level of reassurance and confidence and what is to happen.

Design your indoor backup plan to mirror the atmosphere, décor, and experience of your outdoor event. Use the same or similar lighting, seating arrangements, and decorations to maintain the same vibe. Choose a backup venue that aligns with your original setting, and communicate the plan clearly with vendors to ensure a quick transition. Most importantly, stay flexible and focus on delivering the core experience, regardless of the location.
