ABSTRACT

The capstone project, Automating of Attendance Management System for Senior High

Department, aims to improve the attendance system of Balagtas National Agricultural High

School Senior High Department (BNAHS SHS). The school encountered issues, difficulties and

problems in managing their attendance system, such as conventional attendance takes more time,

tardiness. Manual attendance often results in conflicts and increase work among teachers.

The improving of attendance system computerized the attendance management by

incorporating the student’s information on RFID card and it will be logged on the database to

enhance efficiency and save time.

The system is developed using Visual Basic 2022, XAMPP and access database

providing a user-friendly interface and easy to learn for teachers to effectively manage the

attendance. Key functionalities of this system includes data import and increased security. The

system adheres to standard ISO/IEC 20741: 2017 ensuring functionality, suitability,

performance, efficiency, compatibility, usability, reliability, security and maintainability.

CHAPTER I

THE PROBLEM AND ITS BACKGROUND

Introduction

The rapid development of technology in education with the emergence of high-tech

devices that students are leveraging technologies in daily basis, it can improve the effectiveness

and accuracy of monitoring of data and checking of attendances. Integration of technology is a

good way to solve the issues linking with manual attendance system. This project, which will use

innovative tech such as an RFID technology and improved data processing that aim to improve

how the Balagtas National Agricultural High School Senior High Department manage and

monitor student’s attendance. The manual attendance checking is full of flaws such as

inconvenient, prone to error, increased risk of manipulation or “buddy punching”, lack of real-

time update. Student’s attendance often misinterpreted as simple as writing the names of students

to paper or logbooks. The Automated Attendance Monitoring System will pass this restriction by

bringing in modernized and improvised system that record the attendance data with unmatched

accuracy.

According to the study by Amora, Romero , Amoguis , Olandria , Olandria and Bernales

(2020) from the Bohol Island State University that conventional attendance system requires

teachers to use paper and pen for class attendance or students to manually sign the attendance

sheet during school days. This system lacks automation, where several problems may arise For

instance, time is unnecessarily consumed by teachers or students when manually inserting,

validating data to attendance sheets. Furthermore, a hardcopy form of attendance sheet could
easily be misplaced. Another study by Fernandez, J.Fernandez, Ramos, Tucay, Dalisay from the

Pangasinan State University that manual attendance prone to inaccurate information, they are

recording the attendance of their students using logbook on a daily basis, in short it is

paperbased. Others may take advantage by marking the attendance for others, therefore, it cannot

really monitor employees who are frequently absent or late. In addition, Gertrude, Alpasan,

Maligang and Esimos from Northern Iloilo Polytechnic State College states that Managing

student attendance during lecture periods has become a difficult challenge for educators. The

ability to compute the attendance percentage becomes a major task as manual computation

produces errors, and wastes a lot of time.

The objective of this system is to improve the current attendance management, improve

student motivation, improve the motivation of student, and to bring in effective management. By

automating the attendance system management, the institution can use the on-hand resource to a

much more important projects, improving the overall learning environment of the students.

The key features of this system includes improved data management, real-time confirmation of

the details of students individually, high-speed reporting of data, and impenetrable security. This

system aims to enhance attendance monitoring from a simple task to a much more improved

system that executes task properly.

With today’s inevitable technological advancement, the researchers aim to offer a system

that is up to trend and to-date approach by introducing the Automated Attendance System.

1.1 Perceive Usefulness

1.2 Perceive Ease of Use

2. What is the perception of the students on improving the attendance monitoring system

using RFID in Balagtas National Agricultural High School Senior High School?

3. What application design model should be used to create Attendance Monitoring System?

(ATMOS)?

4.What is the level of acceptability of proposed ATMOS based on the software quality

standard ISO/IEC 20741: 2017 be described by the expert and end-users in terms of:

3.1 functionality suitability

the faculty members of the Senior High School Department but also to the institution, this system

highlights the hurdles that the manual attendance show.

The researchers believe that the result of this study will be beneficial to the following:

School Administrator. The proposed system may help to lessen the paperwork of the registrar

manually encoding student’s data by introducing an improved technological approach. This

system brings a new attendance management system, enabling real-time monitoring.

Senior High School Teachers. The automated attendance system can lessen the workload of the

teachers by transforming the attendance system into automated management. Teachers can now

have time to allocate to giving activities, giving lessons or extra-curricular activity.

Students. Good attendance shows relations to high academic performance and student

motivation. The newly introduce automated system provide in-depth info into the attendance of
students, highlighting the students who shows symptoms of absentism to take action and prevent

more absents.

Future IT Researchers. Further research is essential to keep up with technological

development. This research will serve as resource for further development of some aspects to the

THEORETICAL FRAMEWORK
This chapter provides review of relevant theories, related literature, and studies that are

significant for examining the problems of the study and serve as a guide to understand how to

improve the current manual system by the development of a new automated system. This chapter

also includes the conceptual framework, and the assumption of the study.

Relevant Theories

The researchers seek the support of other studies from other libraries located nearby and

Within reach. The researchers hope to further improve their knowledge of

They presented a system.

According to Mabaquiao, Tancangco, and Valenzuela (2015), employing radio

frequency. Identification (RFID) in monitoring may be useful security personnel, administrators,

and institution to increase its security related the time-in and time-out of student, the Senior High

School time-in and time-out are managed using the already mentioned equipment.

Students will perform more successfully and accurately. Their research was undertaken to

develop a system with RFID to generate an accurate report of time-in and time-out. They

concluded. Automating and computerizing the monitoring system will benefit the institution.

Furthermore, based on the proposal of Dela Cruz, Moog, and Zalameda (2015), they

offered a system to improve and automate student monitoring at City College of Calamba. The

system manages the log-in and log-out of students and guests, keeps track of violations and

appointment notice for all modules/accounts included. They utilized RFID to

with a single tap, automatically record students' log ins and outs.

According to Samuel Fosso, Wamba, Abhijith Anand, Lemuria Carter (2014) RFID

technology's knowledge development within top AIS journals between 2000-2011, identifying
25 pivotal papers. The review analyzes publication trends, application areas, topics,

methodologies and theoretical foundations, informing future research directions.

Similarly, Erasga, Pusag, and Reyes (2016) aim to design a system that will help

the administration by automating attendance monitoring to provide productivity.

The data is accurate. The proponents of the study information on student absences.

Related Literature

According to Ms.G.T. Bharathy, Bhavanisankari, T.Tamilselvi (2021) Attendance plays

a very important role in any organization. Attendance in many organizations, college and schools

are paper based. When paper-based attendance is considered, the chances of error are high.

Using technology this issue can be solved and the papers can be avoided in this process.

Internet of Thing (IoT). Educational institutes are concerned about student irregular attendance.

Truancy can affect a student's overall academic performance. The traditional method of taking

attendance by calling names or signing on paper is very time consuming and inefficient. RFID

based attendance system using IoT system is one of the solutions to handle the problem. The

proposed work comprises of two most popular trend in technology research; IoT and RFID. If we

talk about the current scenario of our education system than we found that we have lot of

technologies to use but still we are following the traditional system. We if we talk about the

attendance system in universities and schools, lecturers did that work manually. Lecturers took

the attendance and update it manually in the database. If we talk about the technology than we

found that there are lot of tools to use and reduce the burden of lectures. Using RFID is the one

example of that. We if combine the RFID and IOT (Internet of Things) than we can do it

automatically and there is no need to do it by lectures. (Ms.G.T.Bharathy,. et. al 2021).

(Elmerson L. Barañao,. et al 2024) Automated classroom attendance system utilizing

Radio Frequency Identification (RFID) technology and Arduino Nano. The Automatic

Attendance Checker System streamlines attendance tracking, requiring a database to store

student information (ID, name, grade, section, sex) and attendance records (login/logout

timestamps).

Furthermore, Mangente and Terbio (2016) stated in their capstone project applying an

RFID. The Internet Center of LSPU-LB can improve its security. The project attempts to

implement. Security for the facility's computer units. Each student will be issued a tag that may

be identified by the system. The system will check to see if the student is scheduled or has

It's time to use a computer unit. The RFID reader and software server will be connected to the

operator's workstation is where the operator controls all of the computers that are connected.

When the tag is touched to the scanner, the system will verify if there is an available unit.

The pupil is permitted to utilize it.

Related Studies

Recently, student attendance has been recognized as one of the crucial factors that reflect

academic achievement and performance at universities. This contrasts with traditional methods,

which are often time-consuming and inefficient. There has been a growing interest in various

automatic identification technologies, such as Radio Frequency Identification (RFID).

According to Maramis and Rompas's (2018) article on the RFID-based

Student Attendance Management System, manually recording all students' attendance has caused

certain issues, such as data accuracy performance. The goal of this project is to design, and

RFID attendance system was built with several key components, including tags that will replace

ID cards and a reader device that will read student attendance data. This project produced an

RFID attendance system software that is coupled with a database and includes a function to store

data or information.

(Dwi Sunaryono,. et al 2021) The student attendance system measures participation in a

course. Several automated systems have been proposed based on magnetic cards; however, these

systems often lack efficiency in processing time and accuracy.

(S. Santoso,. et al 2017) presented a study on the development of a student attendance

application utilizing smart cards as part of the initiative to create smart campuses. One challenge

in educational settings is the time-consuming process of having students fill out attendance

sheets on paper when they enter the classroom. This application addresses this issue by recording

attendance data directly into a database, thereby saving time and reducing paper usage.

(Sahar BayoumI,. et al 2015) Information technology plays a significant role in many

aspects of our lives, particularly in education, where it enhances the learning process. Accurate

recording of attendance is essential; however, traditional methods of taking attendance present

several challenges, including being time-consuming and labor-intensive. To address these issues,

we are developing a class attendance system that uses RFID technology.

The research gathered data indicating that the Attendance Monitoring System using RFID

plays a crucial role in the new phases of people's lives. People utilized attendance monitoring on

a regular basis. Without the developed system, an institution that handles manual attendance

would continue to be disorganized and untidy. The advent of Attendance Monitoring Systems

has had a major influence on the lives of all individuals.

CHAPTER III

RESEARCH METHODOLOGY

In this chapter, the researchers discuss the methods and techniques of the study,

population and sample of the study, researcher instrument, data gathering procedure, data

processing and statistical treatment.

Methods and Techniques of the Study

The researchers used a quantitative design method to thoroughly analyze the deployment

and efficiency of the RFID-based attendance monitoring system at the Balagtas National

Agricultural High School Senior High School Department. The quantitative methodology

facilitated the collecting of structured Numerical data provide statistical insights into how

participants perceive the system. Ahmad , Wasim, Irfan, Gogoi , Srivastava , Farheen (2019) it

aims at establishing cause and effect relationship between two variables by using mathematical,

computational and statistical methods. It also stated that quantitative can be accurately and

precisely measured. It is employed with an adapted survey questionnaire with quantitative

problems where mean and standard deviation is measured.

Adetokunbo, Adenowo, Basirat (2014) In recent time, the most popular methodological

approaches for developing software for a computer based information system are the popular

traditional Waterfall Model. The traditional approach to software development can be illustrated

through the waterfall model which is time tested and easy to understand. The waterfall model is a

static model and it approaches systems development in a linear and sequential manner,

completing one activity before the other. Waterfall method is simpler to implement and less

expensive, that being the reason it is more widely used, especially its modified version. None the

less, once an Object-oriented system is developed it can be reworked easily to improve the

existing system, and can be reused severally for other applications with little adjustments.

Figure 2. Waterfall Model

The researchers used Waterfall method in this study because it follows sequential process

and separates data in a system from the programs that act on the data. (Adenowo, et al 2014).

The sequential phases in the Waterfall model are 1) Requirement and analysis. In this phase,
all possible requirements of the system to be developed shall be considered and documented in

the requirement specification document; 2) System Design. In this phase the requirements from

the first stage shall be analyzed and a system design drawn up. Specify the hardware and system

requirements, as well as the overall architecture of the systems; 3) Implementation. The system

plan is implemented, and the required software is developed. 4) Testing. After testing, all the

units developed during the implementation phase are added to the system. The entire system

shall be tested for any malfunction or failure after integration; 5) Deployment of system. Upon

completion of functional and non-functional testing, the product shall be placed in the customer's

environment or placed on the market; 6) Maintenance. In the client environment there are some

issues that arise. Patches are being made available to correct these issues. Some improved

versions have also been made available to improve the product. To deliver these changes to the

customer environment, maintenance is carried out.

In reviewing previous research findings, this study examined the content of existing and

available documentary resources as information sources. This technique is known as

documentary analysis.

Participants of the Study

The researchers purposely selected 10 Senior high students from sixteen (16) sections

from Balagtas National Agricultural High School Senior High because the researchers believed

that the current research would also be beneficial for students.

The researchers selected the SHS level because the researchers believed that the attendance of

the student at BNAHS, especially the Senior high students that need improvement. The researchers used

developmental research and the participants were chosen to support the researcher’s intended

participants.
The development of Attendance Management System is intended for Senior High School

Students of Balagtas National Agricultural High School. To ensure a comprehensive

understanding of the target population, a sampling method will be used such as Convenience

Sampling, Sample sizes will be allocated to the twenty-seven senior high school teachers of

Balagtas National Agricultural High School. Selecting a sampling method, the researchers will

need minimal prior knowledge of the target population; with this and some reasonable

assumptions, we can estimate a sample size required to achieve a reasonable estimate (with

acceptable precision and accuracy) of population characteristics.

Research Instrument

An adapted questionnaire that the researchers found and modified to assess the

Automated Attendance Monitoring System is used in this research. The research instrument that

the researchers used was adapted from the researchers of ICCT Colleges Van Duran (2019).

The research instrument such as survey-questionnaire was used because of its quick

collection of data than the other methods. Considering the respondent of the questionnaires

which is the senior high school teachers they could answer the instrument without difficulty. The

researchers will use a self-made questionnaire and validated by Lourence R. Villaluz an MSIT

and therefore checked for the validity and reliability of contents of the instrument. After

checking, if no invalid remarks, the researchers will proceed to make copies. Then the copies of

the questionnaire will be given to the said respondents handed by the researchers themselves.

Data Gathering Procedure

As discussed on the Methods and Techniques, the researchers formulated a questionnaire to

be used in gathering data. The questionnaire was checked by an IT expert for any inaccuracy,

mistake and biased questions. After the questionnaire was finalized, the researchers will explain to
the respondent the details that may help respondent better understand the questionnaire, after that

the researcher will distribute the right amount of questionnaire that will suffice the number of

participants needed and will be given personally by the researchers. The distributed questionnaires

given to respondents will collected the same day the participants finished answering the questions,

then researchers will combine the respondents answers with the use of frequency distribution

followed by the analysis and interpretation of data. The proponents handed out a questionnaire to

the teachers in charge about their experiences with the current manual system that the Balagtas

National Agricultural High School is using. The researchers will confidently make the data

gathered confidential and make improvements to the system.

Data Processing and Statistical Treatment

The data that the researchers collected will be manually used to gather the data for this

study. In order to assure neutrality in the presentation, understanding, and evaluation. The data

processing findings will next be examined using data analysis. The data analysis will be

generally descriptive and quantitative. For data presentation, the statistical tool that will be

utilized is the weighted mean. It will be used to provide of all the gathered data from the

acceptability test concerning the different criteria. It is represented by a single value which

represents the entire data. The Weighted Average by summing together all the products of

frequency times degree and dividing by the total frequency, one can determine the weighted

average. The respondents' evaluation will be based on the weighted mean. There will be several

evaluation levels, each of which will be based on how well the response was.

The statistical procedure the researchers used to interpret the collected data from the participants of

the study.
Where:

n = sample size

N = number of cases

e = margin of error

e=5%

These responses were used to interpret the data. The following are the numerical ratings

and interpretations of the responses that were analyzed and evaluated.

Likert Scale. Will be used to evaluate the system and the questionnaires using a 5-point scale

and the respondents will be presented with a range of possible answers to choose the option

that best corresponds with how they feel about the proposed system. The option consists of

Strongly Agree being the positive answer and Strongly Disagree being the negative outcome, if

the end-user is satisfied with how the proposed system features and functions work then the

user will rate the system based on how they feel about the software. The user may feel satisfied

nor unsatisfied which result to choosing the option “Neutral”. Lastly, if the user is not satisfied

with how the function works, user can rate the software as “strongly Disagree’ that shows the

system need improvement.

The weighted mean of a set of numbers X 1, X2, ..., Xn, with corresponding weights w1,

( w1 X 1 +w 2 X 2 +...+wn X n )
X̄ w =
w2, ...,wn, is computed from the following formula:
( w1 +w2 +...wn )
Table 1. Scaled numbers in Verbal Interpretation

MEAN VALUE WEIGHT VERBAL INTERPRETATION

4.30 – 5.00 5 Strongly Agree

3.50 - 4.20 4 Agree

2.70 – 3.40 3 Neutral

1.90 – 2.60 2 Disagree

1.00 – 1.80 1 Strongly Disagree

The scale number in Verbal Interpretation shows the five-point scales that were used in

questionnaire-rating and system testing. Number 1 is equivalent to Strongly Disagree, 2 is

Disagree, 3 is Neutral, 4 is Agree and 5 is Strongly Disagree.

Ethical Consideration

The participants in the study would not experience any adverse effects as a result of

taking part. Prior to the study, full consent would be obtained from the participants and

researchers. The privacy of these research participants would also be safeguarded. The

respondents' voluntary participation in the study would be heavily weighed. Additionally, they

have the freedom to leave the survey whenever they want. The handling of the data would be
sufficiently confidential. The researchers would not spread any false information or present the

primary research findings in a biased way. However, the strict adherence to objectivity in

discussions and analyses will be considered throughout the research. It would also clear up any

associations, funding, and potential conflicts of interest. The researchers would be truthful and

open.

CHAPTER IV

PRESENTATION, ANALYSIS AND INTERPRETATION OF DATA

Conventional attendance management systems frequently experience inefficiencies and

human mistakes. To tackle these issues, this chapter showcases the findings of an Automated

Attendance Management System aimed at simplifying the procedure. The system is assessed for

its performance, precision, and user acceptance, emphasizing its ability to transform attendance

tracking.

The data analysis was descriptive and quantitative in general. The following statistical

tools were used in the results presentation, analysis, and interpretation of data: weighted mean in

determining the level of system acceptability in relation to the different system criteria.

The upper and lower bounds of the scale were established utilizing the 5-point Likert

Scale to aid in the understanding of the weighted mean score of the answers, as illustrated below.

Numerical Rating Descriptive Interpretation

4.60 - 5.00 Strongly Agree

3.60 - 4.59 Agree

2.60 - 3.59 Neutral

1.60 - 2.59 Disagree

1.00 - 1.59 Strongly Disagree

The primary respondents of the study were the Teachers of Balagtas National

Agricultural High School Senior High Department. They were given a questionnaire and asked

to evaluate the developed system based on how the system performs.

The researchers also given a survey-questionnaire to Senior High students to know their

perception about the automation of attendance management system

Three (3) IT experts were also requested to validate the improved system to know

whether the proposed system actually meet the standard and perform its function properly. The

total number of respondents and evaluators is presented in Table 3.

Table 3.
Participants and Evaluators of the Study
RESPONDENTS FREQUENCY PERCENTAGE

Senior High Students 50 71%

Senior High Teachers 17 24.7%

Faculty in education institutions oftentimes follow different attendance practices and

policies: some make it compulsory and count toward the final grade while others do not. Even

when attendance is not compulsory, many faculty believe in its positive effect in academic

performance. (Rudina Guleker, Julinda Keci 2014). This only proves that being present in class

affects the academic performance of a student.

RFID technology is an automatic wireless identification system that works by the help of

active and passive cards and a reader. In this work we have tried to ease the problem of manually

taking attendance with the use of RFID technology. This system will help the authority manage

the attendance system in a more organized, efficient and time saving manner. The proposed

method has been implemented in a prototype system that has proved the effectiveness of the

system in easing the chores of attendance taking as a result of the automation of the system using

the RFID technology. The design of the system is simple, inexpensive and portable making it a

good candidate for commercial and academic purpose.)H. U. Zaman, J. S. Hossain, T. T. Anika

and D. Choudhury, "RFID based attendance system," 2017)

Application Design Model

The Waterfall methodology, also known as the Waterfall model, is a sequential development

process that flows like a waterfall through all phases of a project (for example, analysis, design,

development, and testing), with each phase completely wrapping up before moving on to the

next.
Figure 6.

Unlike much prior research that has focused on only a limited aspect of compatibility, we

provide a more comprehensive conceptual definition that disaggregates the content of

compatibility into four distinct and separable constructs: compatibility with preferred work style,

compatibility with existing work practices, compatibility with prior experience, and

compatibility with values. (Elena Karahanna, Ritu Agarwal, Corey Angst 2016)

Every system requires that maintainability measure should be done in early stages of

development life-cycle which will help the designers to correct the software, if there is any fault,

in early phases of designing. By doing this, cost of the development of software will be reduced.

The paper gives the overview of various quality models in which maintainability is described.

The authors propose a model for estimating the cost of software porting, based on

program characteristics and other factors (porting impediment factors). We first clarify the

porting impediment factors and define evaluation criteria for each factor. A model for evaluating

porting cost is derived from these factors. The applicability of the model framework is confirmed

by porting various programs. Measures for reducing porting cost are proposed, and their effects

are estimated using the model. The proposed model can be used to estimate porting cost and to

evaluate porting productivity as well as the productivity of each stage of the porting process.
