Applies to:
Any business user who uses the transactions FBL1N and FBL5N to display line item reports for vendors and
customers.

Summary
This article provides the step by step configuration details for addition of additional fields for user selection in
the line item report display in the transaction FBL1N (Vendors) and FBL5N (Customers). The additional fields
are those fields which are generally not available for user selection in the report outputs and are required to
be added through configuration.

Introduction
The transactions FBL1N and FBL5N are used to display reports on line item details for vendor or customer
respectively. Once the report is run there are few fields which are automatically displayed in the report
output.
Also in case users require additional fields to be displayed the same can be added in the report output for
display and sorting using the change layout mode and by adding the hidden fields to the displayed fields list.




However in certain cases user requests for additional fields which are not present in the hidden fields list to
be made available for user selection in the report output. The article gives details on the configuration steps
involved for achieving the user requirement.
The configuration steps will help consultants to satisfy the user requirements of the additional fields being
added to both FBL1N and FBL5N transaction report outputs.

Solution
As per the requirements given earlier the user required additional fields would not be available in the
standard additional fields list, the same need to be added in Configuration (SPRO) level. An important point
to note is that the table to which the entries are added is a cross client table.

Requirements
The fields we will configure to achieve the configuration as examples are the following fields:
       Quantity (BSEG - MENGE)
       Payment Amount (BSEG - NEBTR)
As per user requirement when the user runs the reports in FBL1N and FBL5N the above two fields are not
available for user selection in the change display mode list.

Steps Involved
Step 1 – We would need to add the two required fields from the table BSEG in the table for additional fields
display. The table is cross client and as per requirement can be added in the table available in the following
path in SPRO settings.
For Customer - Path - Financial Accounting > Accounts Receivable and Accounts Payable > Customer
Accounts > Line Items > Display Line Items > Define Additional Fields for Line Item Display




OR
For Vendor - Path - Financial Accounting > Accounts Receivable and Accounts Payable > Vendor Accounts
> Line Items > Display Line Items > Define Additional Fields for Line Item Display

Step 2 – In the above path there needs to be additional new entries created for the required additional fields
in the table Change View “Line Layout Variant Special Fields”.

The new entries can be created by clicking on “New Entries” button on the top of the screen and entering the
details in the table below and by clicking on the save button. The system would request for a workbench
request for the changes to be saved:




Note: There are restrictions on the fields which can be added. Fields can be added to the above table from the tables
      BKPF, BSEC, BSED, BSEG, PAYR, BSEGC etc.

Step 3 - After saving the data we would need to rerun the TCode FBL1N for vendor line item display and
FBL5N for customer line item display. The two fields would now be available for user selection in the change
layout mode and can be added to the report output list from the hidden fields list.
Vendor Line Item Report
        FBL1N – Executed:




        FBL1N – Change Mode activated by clicking on change layout button(Ctrl + F8), the two new fields
            are selected from hidden fields list and the copy button clicked:

         FBL5N – Change Mode activated by clicking on change layout button(Ctrl + F8), the two new fields
                       are selected from hidden fields list and the copy button clicked:




        FBL5N – the two new fields are added to the report output:




Note: There might be occasions where even after adding the line items in the configuration the same might not be visible
      for selection, in that case execute the program BALVBUFDEL (Tcode SE38), and then go back to the reports.

The above steps described would help the consultant to add the user requested fields in the line item report
output display. However incase the user requires the additional fields to be added to the dynamic selection
part in the TCode FBL1N / FBL5N, then further configurations are required.

Additional Information
There might be occasions where the user requires some fields to be added which are not available in the
standard SAP SPRO configurations. In that case ABAP development would be required to add the requested
fields in the line item display. This would need the following steps:
       Append structure RFPOS/RFPOSX with additional fields
       Run the report RFPOSXEXTEND in order to update the structure RFPOSXEXT from RFPOSX
       Fill the field value with BTE 00001650 and active the BTE

Additional Information There might be occasions where the user requires some fields to be added which are not available in the standard SAP SPRO configurations.
