June 9, 2009 Thank You Notes Chuck Tomasi
Time Description Person(s) 6:00 Introductions All 6:20 Group strategy discussion All 6:40 Thank you notes Chuck Tomasi 7:15 Future topics Chuck Tomasi 7:30 Open discussion All
What do you want to get out of this group? What are you willing to contribute? How can we make it sustainable long term? How do we attract more participants?
Notes Don’t have to be expensive Bi-fold Don’t use e-mail It’s impersonal and doesn’t carry the same impact
Only say “thank you” twice Express only gratitude Never ask for anything Handwritten is best Typing is impersonal It’s never too late – really! Only write on the bottom (or right) side Write on this side only
Make notes on project folders Jot down names of people and what they did Thank you notes Brian F – drafting review furniture setup Jason H – sponsorship/backing Scott S – network setup/speedy response Paul M/Andy H – organizational and review
Keep it short If it doesn’t fit on ½ of the card, it’s too long Three sections (3-4 lines) Thank you Personal section Final appreciation
Avoid: I’d like to thank you… I’m writing to… Examples: Thank you for being part of my project team Thank you for interviewing me today Thank you for hosting me at the meeting last night
1-2 Lines Involve specifics You want them to know this is not a form letter This is where the prep comes in handy Example: Your quick work with the network configuration made the project run smoothly and kept things on schedule. I wish we had more people with your level of dedication.
One quick summary to re-iterate Examples: Again, I appreciate all the help Thank you again. I look forward to seeing you soon. With warmest regards and appreciation
Start with this formula Including items Ex: Photo of you and the card recipient (appropriate) Ex: The card recipient receiving an award Ex: Novelty – “Thanks a Million” Avoid including a business card
Your laptop broke down and the PC support technician, Sarah, got it turned around in 24 hours before an important trip you had to take to see an important client. She did it without any loss of data
Your project to overhaul the new hire process just completed. Your boss was the sponsor and really went to bat for you when the senior management team thought it should be shelved for other initiatives.
You were on a business trip and left an important folder in the hotel room. You contact the hotel and Carol the receptionist located it and sent it overnight to your office where it was waiting for you when you returned.
Your brother just bumped in to Mr. Johnson, your 10th grade teacher who made a big impact on direction of your life. Mr. Johnson said he remembered you and would love to hear from you.
