integrated library system
 Integrated library system is also called Integrated
library management system
 It is an automated package of library services that
contains several functions
 These functions usually include acquisition,
circulation and cataloguing etc.
 An integrated library management system usually
comprises a relational database, software to
interact with that databases, and two graphical user
interfaces (one for patrons and one for staff).
 Most ILMSs separate software functions into
separate modules.
 Each of them integrated with a unified interface.
 Larger Libraries use an ILMS to order and
acquire, receive and invoice, catalogue, circulate,
track and shelve material.
 Most libraries use an ILMS. There are ILMS for
larger libraries such as SirsiDynix and ILMS for
smaller libraries such as Oliver by Softlink.
• Administration module (configuring system, established
patrons classes)
• Acquisition module (ordering, receiving, and invoicing
material)
• Circulation module (lending material to patrons and
receiving them back)
• Cataloguing module (public interface for users)
• Interlibrary loan module (borrowing and loaning
material to other libraries)
• Serial control module (tracking magazines and
newspaper holdings)
• Patron module ( guide library users for services in
library)
The administration module is used for
configuring the system for their own needs, such
as creating IDs and passwords for staff;
establishing patrons classes, e.g. adult, children,
establishing loan periods and specify indexing
parameters such as what fields and in what order
are displayed in the OPAC.
OR
The administration module is only for administrators
users, is intended for the startup of the basic
configuration and the consecutive modifications.
 Data management module:
The data management module is used by operators,
manage for data cards, consultation and update, run
the processes and prints the reports, etc.
The main features of administration module
include;
• Creation of new” classes” that is to say new
types of objects in the system.
• Creation and modification of the “attributes” of
a class(normal and geographical).
• Importing of the workflow.
• Printing of the data model scheme(complete or
only limited to the requested class).
•User/department levels of access to information.
• Multiple information back up solutions in the system.
• Customize formats for issuing / printing of documents.
Purpose of Administration module:
• The administrative module helps you to customize first
search to meet the needs of users and staff.
• Integrate first search with library services.
• Control first search costs for library.
Circulation module controls all the normal
functions of loan,return,renewal and reservation
for individual resources and for resources linked
together in sets.
In this module, track borrowing and
returning of material, generate notices such as
holds and overview loans and calculate any fees
or fines owing.
Patrons records are stored in circulation module.
 The basic functions of circulation module
are;
 Tell what material is available and what is
on loan.
 Tell which material is on loan, to whom
and when it is due back.
 Recognize and trap reserved items when
returned.
 Prepare and send overdue and recall
notices.
 Allow for renewals.
 Facilitate the circulation and collection of
fines or demerits as required.
 Be very reliable.
 Allow for multi site activities.
 Be able to deal with different types of
numbers, e.g. accession numbers, barcodes
and ISBNs.
 Be able to deal with data capture devices such
as light pens or other light scanning devices.
 Cataloguing module is a standard feature for
integrated library system.
 This module allows management of
bibliographic file, authority files and holdings.
 It is used for the storage of bibliographic
records for each title owned by library.
 The most important feature of cataloging
module is the ability to define and maintain
the MARC format used.
 Multi lingual documents cataloging
 Multi MARC formats handling
 Easy MARC Editor
 Advanced MARC Editor
 Advanced validation functionality
 Ability to handle MARC and non MARC
bibliographic records
 Ability to download and upload to
bibliographic utilities, such as Australia’s
libraries
 Allow for local cataloguing
 Allow for modification of records
 A special module used with the
catalogue module, it is used for creating,
sorting and managing the authorized
headings, such as author’s name and
subject headings used in the
bibliographic records.
 Authority cataloguing will offer;
 Ability to maintain authority file for any
record type defined by Authority MARC
Format
 Inspect and maintain references to
bibliographic file
 Build complex references between authority
records
 Ability to build and handle multi lingual
thesaurus
 Interlibrary loan module is a module which
helps patrons or staff to obtain materials
that are available in other libraries.
 This module is designed to track borrowing
and loaning of material to and from other
libraries.
 The core of ILL module is the request made
by patrons or by librarian to be processed by
the appropriate personnel in the library.
