Life & Time Management
INTRODUCTION
Life does not on its own, give you joy,
peace, good health and success. All it gives
you is space and time. For many persons in
today’s world, time is a big problem. They
work hard from early in the morning to late
in the evening, and despite this they are
involved in a continuous fight for time and
they never seem to win.
So what is Time?
TIME is
A dimension in which events can be
ordered from the past through the
present into the future
A measure of duration of events and
intervals between them
An indefinite continuing progress of
existence and events in the past
present and future regarded as a
whole.
TIME
Time is:
Invaluable;
Indispensable;
Irreplaceable;
Given to everyone without any
discrimination and you cannot accomplish
anything without it.
Every man has the same
24 hours in a day
7 days in a week.
168 hours per week,
10,080 minutes per week, and
604,800 seconds per week.
TIME MANAGEMENT
Controlling the sequence of events around
you is time management
TIME MANAGEMENT
The Key to effective time management is the
4 Dos:
Desire
Decision
Determination
Discipline
ACTIVITY 1
Form a buzz group (Pair up/group of 3)
• Discuss all your tasks/activities in a day
• Outline the challenges of accomplishing
these tasks
• Outline any 2 methods of overcoming
these challenges.
• 3 minutes
SELF MANAGEMENT MATRIX

Acquiring relevant skills etc
NOT
IMPORTANT
3
Activities; Interruptions;
Sudden calls; some mail;
some meeting;
popular activities;
pressing matters
4
Activities: Trivia, some
irrelevant phone calls;
pleasant activities;
time wasters;
Responding to junk mails
TECHNIQUES IN TIME MANAGEMENT
Being focused – Think and Reflect on what
you have to do
Determine your goals –
Specific/Clear
Measurable
Achievable
Realistic
Time bound/limits
Make detailed plan - For an achiever,
planning and goal setting is
a responsibility and not an option.
Use a ‘To-Do’ List – Daily, weekly,
monthly basis
Develop blocks of time – carve out blocks
of time in a day/period when you can work
uninterrupted.
Set priorities – 5 levels –
must be done
should be done
nice to do
could be delegated
could be eliminated
Over come procrastination – Golden rule
of “Do it now”
Control interruptions – Use do not
disturb signs to put off people.
Set time limits on any discussion;
switch off TV/Phones/internet
Reading materials
- Speed reading
- Glance through headlines
- Use table of content
- Use transition time well.
Organize your work space – save time by
having a good and clear desk
 Balance and moderation – create time for
exercises, medical check-up and close
relations
NB – 20% of what you do will
account for 80% of the results you
get. (Pareto’s Principle)
ACTIVITY 2 – PARETO’S PRINCIPLE
Write down your entire tasks – everything
you do at work (major – minor)
Write down a summary of
outcomes/results expected of you (things
most crucial to your success)
Rate list 1 on the scale of 1 – 5 (with 1
being low priority and 5 being utmost
priority)
Select all the tasks rated 5 to form the 20%
most directly linked to those
outcomes/results.
CONCLUSION
1. It would be better for an
individual never to have been
born than for him to live on
this planet for many years and
not fulfil the purpose for
which he has been given life
2. Time is
 Perishable
 irreplaceable and
 cannot be saved.
3. It is not partial to
black or fair,
young or old,
rich or poor
Time is
more important
than
money
If you have difficulty managing your TIME,
THEN
you are having difficulty managing your
LIFE.
Remember
Yesterday is a cancelled cheque
Tomorrow is a promissory note
Only Today is cash in hand
Thank you
