How to decide if a PLN is a good option for your institution

Questions to ask the PLN

Membership

What is the term length for membership?

What are the costs, both for membership and storage? Are there expected in-kind contributions like hardware and staff time?

Do you have to host a node to participate?

Are there geographic or institutional restrictions on who can join?

Content

What are the limits on content size, type, and format?

Expectations for participation

What are the expectations on staff time, i.e. serving on committees, upkeep of infrastructure especially for storage nodes, etc. ?

What level of support can the member expect from the PLN, whether as peer support or from central staff?

How easy is the PLN’s preservation solution to use? How do staging servers, ingest workflows, auditing, and data recovery look?

What is the governance model? How are decisions made?

Information for the institution to know/figure out internally going into the conversation

Materials

What kind of content do you currently or want to preserve? What format is that data?

Is there PII? And if so, is that okay to have at other institutions or outside of the country?

How much material is there currently and projected?

Workflow

How much capacity do you have for digital preservation currently? Technically? From a service perspective?

What tools do you currently use to manage digital assets? What are their export capabilities? How much staff expertise do you have for format conversions?
